The Pull
AppFolio was trying to make research easier for teams and stakeholders to reuse.
Their current setup blocked them because non-users still needed summaries and decisions, and new users needed a clear way to find the right workspace, folder, and report.
BuildBetter unblocked this with a searchable research repository, AI summaries, highlights, folders, and shareable links.
The Catalyst
A stakeholder asks for research evidence. Product Ops can send a BuildBetter summary, highlight, or link instead of rewriting the story by hand.
“BuildBetter lets us move from raw conversations to decisions faster than ever. Our stakeholders can now access insights without waiting for handoffs.”
— Product Ops Team, AppFolio
Before BuildBetter
Product Ops needed to share research across teams without manually re-packaging each finding.
The old workflow had three friction points:
- researchers had raw conversations and notes,
- stakeholders needed summaries and decisions,
- new users needed to find the right place to look.
The Blocker
The blocker was not that research did not exist.
The blocker was that research sharing still depended on one-off handoffs. Every new question could require another summary, another clip, another link, another explanation.
“The centralized repository and AI summaries changed how we share research. We're seeing 2-3x faster research sharing across the organization.”
— Product Ops Team, AppFolio

What Changed
The clearest changes:
- researchers can move from call to summary to highlight faster,
- stakeholders who do not live in BuildBetter can still review takeaways,
- Product Ops has a repeatable way to teach new teams where research lives,
- research becomes easier to reuse instead of being re-explained each time.
